BOOKING CONTRACT DETAILS

Policies

Function Room (for dinner): Meeting space is based on the number of guests and the schedules for that space at the time of booking. If a group’s numbers drop or increase substantially from the initial estimate, it is the Group Coordinator’s responsibility to contact the Group Sales Department to verify the room will still accommodate the group’s needs. If this occurs, Sea Mist Resort reserves the right to adjust the meting rooms to a room that more appropriately fits the needs of the group. A room change would not be made without prior notification to the Group Coordinator. The meeting space charge of $125 is due July 7.

Food & Beverage: All buffets require a minimum of 50 paying adults. If the minimum  of 50 paying adults is not met and the group still wants to have a buffet, each guest will incur a surcharge of $3.00/pp. For groups that fail to reach 40 persons, they would need to change from buffet service to a plated menu. In addition, in order to qualify for a child’s (for ages 3-11) discounted rate, a minimum of 50 paying adults must be met.

The Food & Beverage deposit of $250.00 is due 30 days after the origination of the contract (July 7). This deposit becomes non-refundable 90 days prior to arrival (August 22).

Food & Beverage guarantees are need 14 days prior to the first scheduled event (November 8). Final payment is due one week before arrival (November 15). That payment must be made with a cashier’s check, money order, credit car or cash.

Please keep in mind that no outside food or beverage is allowed with the confines of our Convention Center. The only food and beverage allows is that which is prepared and serviced by Sea Mist Resort catering staff. In addition, any food that remains after functions cannot be taken out of the Convention Center as Health Laws prevent this from being done.

Guest Room Block

Rates are based on one adult per bed per night. There is no extra charge for persons aged 16 and under staying in a unit with their parents. Otherwise, each additional adult in a unit will be subject to an additional nightly charge.

Any rooms reserved after the Rooms Release Date has passed will be subject to availability and will be priced at the rates then applicable to individual reservations.

Capacities of the rooms are set by State Regulations and may not be exceeded. All charges are subject to the prevailing state and local taxes. **Any change in the tax structure would be applicable to all quoted rates at the time of check in (i.e., your rates could change slightly due to a tax increase).

Contracted rates are only valid for groups of 10 or more. If the group falls below the 10 room minimum, the rate will be adjusted to current individual rates.

Room Reservations

All room reservations must stay a minimum of 2 nights and you must have at least 10 rooms picked up in order to keep the group discounted rate and function space.

To book your reservations, please call 800-732-6478 (daily 9:00am – 9:00pm) and provide the Group Reservation Number 1471432 to receive the group discounted rate. A deposit of 30% of the total reservation cost is due at time of booking.

FINAL PAYMENTS ON ACCOMMODATIONS MUST BE PAID BY CASHIER’S CHECK, MONEY ORDER, DEBIT CARD, CREDIT CARD OR CASH. WE DO NOT ACCEPT PERSONAL OR BUSINESS CHECKS AT CHECK-IN.

Your reservation deadline is October 23, at which time any remaining rooms being held will be released. Any rooms reserved after the Rooms Release Date has passed will be subject to availability and will be priced at the rates then applicable to individual reservations.

Confirmation / Cancellation

Cancellations of individual units from time of deposit would incur a $25 service charge up to 14 days prior to arrival (November 8). Cancellation of any unit within 14 days or less of arrival will result in a full forfeiture of the deposit.
